Hello, I'm new to the list. I'm Judith Kirk, the authority control coordinator at Western Michigan University in Kalamazoo. I'm looking to talk with other folks who handle the authority control work at Voyager/ExLibris institutions. We have just begun with BSLW, and will get our first quarterly load sometime in March 2010. We have also contracted with Peter Ward to receive LCSH tapes every week, and we're wondering if this might be a duplication of effort. I'm wondering how other Voyager/ExLibris libraries handle necessary global changes and other issues. Judith: We have Voyager and are currently having BSLW process all our bibs every run so we can get changed headings into the records before they come back from BSLW. After they are back, we do the global headings change process. This still leaves some to do by manually which I assign to a parapro and sometimes to students. I do think the additional tapes from Peter Ward is duplicating the effort as you will get all the authority records you need from BSLW. You will have a ton of clean up to do with unauthorized headings and partial matches, depending on the reports you get back. This is ongoing and as we work through the lists we are able to find authorized headings once we account for old cataloging, errors, etc. We either search WorldCat or LC for the ongoing clean-up. If we find a match and fix the heading in the record, we import the heading and notify BSLW to add the authority record to our master file. If you want more detail about our process, I'd be happy to let you know. Unfortunately, I don't have a written procedure as I just haven't had time to write one. It was all new to me so I made it up as I went along and learned a lot along the way. I'd be happy to help you avoid that steep learning curve. Feel free to email or call. Hi Leslie, and thanks for this detailed reply. I have some questions. So when you get your bib records, I'm assuming you're also getting the appropriate authority records? And these are batch-loaded into your system when Backstage tells you they are ready, or your people check to see that they're ready to load? I'm trying to determine if when the new/changed authority records are batchloaded for you, that it does cause Voyager's global change queue to react/put appropriate entries in the queue? If it does, then we definitely do not need the Ward tapes anymore. Oh, I'm finding out the joys of the corrections to make from the BSLW reports (lol). I'm still working on the ones generated by our initial loading. How do you let BSLW know when you have manually changed or added authority records? We're trying to figure out how to do that now. Do you just provide the 010's of the affected authorities? Thanks so much! Judy
